PAYROLL
Beginning September1, 2003, the Business Office shall no longer be able to accept paper inputs for items such as class coverage, chaperone, home instruction, etc. These data are submitted online by the four principals and Dr. Elstein as appropriate. The staff member initiates the action by entering the district website, clicking on teacher resources, then "forms" and enters the requisite data. The approval authority, {the principals and Dr. Elstein} receives an email via Lotus Notes and then approves or denies the payment request. School secretaries shall continue to make the entries on behalf of substitutes and hourly employees. PLEASE NOTE: the authorization for payment shall goes direct into the payroll file. Therefore, it is impossible for the Business Office to track the authorization and provide status to an employee with a question as to payment. Questions should be referred back to the approving authority as they control the payment process.
HEALTH INSURANCE CLAIMS
Under the Health Insurance Portability and Accountability Act of 1996, the Business Office may now not take part in any aspect of claims resolution. That function is the responsibility of our broker, Commerce Insurance Services. Additionally, the HIPA statute requires that an employee complete an authorization form each time they would like Commerce to investigate the status of a claim on their behalf. This form shall be available to be downloaded from the Lotus Notes database of forms in the near future and copies have been mailed to each school, Child Study Team and Support Services. They are available in the Administration Building from the Reception Desk. The forms must be completed and faxed to Commerce Insurance Services at 856-424-8583 to the attention of Rachel Meakim. Her phone number is 856-470-2264. The employee would then proceed to file an inquiry or complaint with Commerce Insurance Services after submission of this form. We have all seen a great deal of additional paperwork and sign-offs required as a result of HIPA, from physician and dental offices to pharmacists, and this requirement is part of the same Federal regulations. We are also working with Commerce Insurance Services to develop an online capacity for staff to track their claims directly with Horizon.

PENSION
The New Jersey Division of Pensions and Benefits provides a number of key services directly to members of its programs. Employees may contact the Division by writing to: New Jersey Division of Pensions and Benefits, PO Box 295, NJ 08625-0295 or calling: 609-292-7524. In addition, there is a web site that provides employees with access to all aspects of their accounts. The web address is: www.state.nj.us/treasury/pensions. Employees may use the website to calculate retirement benefits, request copies of retirement statements, authorize beneficiaries, pose questions, etc. The Business Office may not provide these services for any employee. Our role is limited to enrolling employees, forwarding payments and providing final salaries prior to retirement. |
